Away Tournament Information

PLAYER'S TRAVEL AND SUPERVISION

For out-of-town travel tournaments, families enjoy the flexibility to choose how they get to the event. Options for travel include players going with their parents, joining our staff, or traveling with an approved parent chaperone.

I. TRAVELING WITH PARENTS

If a parent accompanies a player to the event, they must follow the team's event itinerary.

II. TRAVELING WITHOUT PARENTS

  • Travel w/ Parent Chaperone. If a player travels with a parent chaperone, the player's parent or guardian must give their consent and ensure all necessary travel arrangements are in place and approved by us.
  • Travel w/ Staff Member. If a player travels with our staff in the absence of their parents, and we assume responsibility for them, an unaccompanied minor fee of $125 per day, with a maximum of $250 per trip, will be billed to their Showtime account.

FLIGHTS

Parents are responsible for arranging and covering the cost of flights.

I. DEPARTURE

It is recommended to book a flight that departs in the morning, or no later than the afternoon of the day before the games start, to ensure timely arrival. For events requiring check-in the day before games, a morning flight is advisable.

II. RETURN

We suggest booking return flights that departs in the evening or night on the last day of the games. This timing allows participants to attend all scheduled events and possibly any award ceremonies or closing events without rush.

III. FLYING WITH STAFF

If a player is flying with our staff, parents must provide a non-refundable $250 flight deposit. The final invoice will reflect the actual costs, which may be higher or lower than the initial deposit.

HOTEL ARRANGEMENTS

I. PLAYER ACCOMODATIONS

Our team coordinates the hotel arrangements, ensuring that players will room exclusively with their teammates and not with adults, including parents, regardless of travel arrangements.

  • Room Arrangement. Each room will accommodate a maximum of four players.
  • Arrival Time. Players must arrive at the hotel by the evening prior to the start of the games. For example, if games begin on a Saturday, players should be at the hotel by Friday evening.

II. PARENT ACCOMODATIONS

If parents are attending the event, they may stay at the same hotel as the team, provided there is availability.

  • Room Reservations. Parents must book their rooms through the tournament housing link, which will be provided once our attendance for an event is confirmed.

It is important that parents adhere to these booking arrangements because many of these away tournaments have a Stay to Play requirement.

This policy mandates that accommodations be booked through designated channels and typically includes a minimum number of room nights to ensure team eligibility and participation.

MEALS

Parents are responsible for arranging and covering the cost of meals during tournaments.

Players who are not accompanied by a parent to a tournament will have their meal expenses billed to their Showtime account.
